Terms & Conditions

1. INITIAL RESERVATIONS
We accept initial reservations by telephone or email for the current and following year only.

2. BOOKING
Reservations will be confirmed with a 30% advanced deposit or full payment of the rental charge according to the schedule set out in paragraph 4. Until that time no contract or agreement will be considered to exist. If significant changes need to be made in the booking after the reservation has been confirmed, an amended set of forms must be completed and returned.

3. THE PARTY LEADER
The Party Leader is the person who holds the booking, to whom all correspondence and invoices are addressed and who is responsible for the rental. Spouses’ names are not considered interchangeable.
Number of people in party: the number of people booked is the number that will be accommodated. If extra people arrive without having notified us, we reserve the right to refuse the lodging without a refund. The maximum number allowed at Masseria del Gelso Bianco is 10 (four) people. If more people request to be accommodate, please read section 10

4. PRICE & PAYMENT SCHEDULE

The price quoted on the rental invoice is the contractual rental price. The payment schedule for the rental price is as follows:

  • If the initial reservation is received less than six weeks before the first day of the rental period, the completed and signed booking form must be accompanied by 100% of the total invoice price within two working days.
  • If the initial reservation is received more than six weeks before the first day of the rental period, the completed and signed booking form must be accompanied by a deposit of 30% of the total invoice price within five working days.
If payments are not received on time we reserve the right without prior notice to cancel the booking outright and apply cancellation charges.

5. METHODS OF PAYMENT 
Payments are accepted in Euro (€) only and may be made by bank transfer, cheque or Paypal in accordance with the restrictions set out in the above schedule.  Credit card payments may be accepted with a 3% surcharge.  Details on request. The final bill, which is presented by the owners of the property at the time of the rental, must be paid directly in Euros (€).

6. LETTING PERIOD
The letting period for each property is blocks of a week, Saturday to Saturday. Different timings will be discussed separately.

7. ARRIVALS & DEPARTURES
a. Arrivals

Guests are expected to arrive at the property between 4:00 pm and 7:00pm on the first day of the rental period. If an early arrival time is anticipated, notification must be received in writing by email in advance. If an arrival later than 7:00PM until 11:00PM or a Sunday arrival are requested, there will be a €100 extra charge, payable at check-in. No check-ins will be made between 11:00PM of the first day of the rental period and 9:00AM of the following day. Guests are responsible to make arrangements if the arrival occurs during this time.
If an unforeseen delay should occur, every effort should be made to contact the owners at the telephone number provided.

b. Departures
Guests are expected to vacate the property by 10:30am on the final day of the rental period. The owners will inspect the property at 10:00am. Should departure prior to 10:00am be necessary, clients are requested to notify the owners at the beginning of the rental period in order to arrange an alternative time for the property inspection.

8. FINAL BILL & SECURITY DEPOSIT PAYMENT
The final bill is presented by the owners at the conclusion of the rental period and is payable to them in Euros (cash). Both the Party Leader and the owners are required to sign the final bill.
The security deposit is €500, payable in cash at check-in. It will be refunded to you at check –out less any damages or unpaid fees.

9. SUBSTANTIAL AMENDMENTS OR CANCELLATIONS BY YOU
Substantial amendments to bookings, such as a change of dates or properties, or cancellations must be conveyed in writing by email and may be subject to penalty charges as follows:

  • Notices of cancellation or of substantial amendments received within six weeks or less of the first day of the rental period are subject to a penalty of 100% of the invoice price.
  • Notices of cancellation received six weeks or more prior to the first day of the rental period, for bookings in the current year are subject to a penalty of 30% of the invoice price.
  • Bookings for the following year made and cancelled prior to December 15th are subject to a penalty of 10% of the invoice price.
  • Bookings may be deferred to the following year, subject to availability.
10. UPGRADES
The booking can be upgraded at any time at an extra cost of €50 per person per day to accommodate a larger group up to the maximum number of people allowed at that property. The upgrade request and the acceptance of the upgrade must be given in writing.

11. AMENDMENTS OR CANCELLATIONS BY US
We undertake to notify guests in the unlikely event that we are forced to make changes to their booking. Should a property become unavailable for reasons beyond our control, we will do our utmost to find an alternative property in the same area and of a similar description, and reserve the right to transfer your booking to that property. Should no similar or suitable properties be available, we will refund the full amount paid to us for the rental and additional services but we will not be liable for cancellation charges pertaining to travel arrangements.

12a. EXTRA SERVICES AVAILABLE

Extra services may be requested up to twenty one (21) days before the first day of the rental period. We cannot guarantee fulfilment of any extra services requested as some of these are provided by third parties. We do our utmost to ensure that the individual engaged to perform the service fulfils their duties in a professional manner but we are not liable for any inadequacies.
Maid service. The maid service included with the property rentals involves cleaning and tidying only. Please note that this service does not cover the making of the beds, cleaning of the kitchen, laundry but not ironing. Extra maid service costs €30 per hour.
Chef-in-villa service. Our chef is available for indulgent catering services and for personalised cooking classes on the delicious cuisine of the Puglia region.  Prices on request.
Shopping. If you send us a shopping list in advance, before the deadline for booking extra services, we shall arrange this for you. Please note that service charges are applicable; Beyond the cost of the items themselves, there may be a charge for shopping service (€30 per hour).
The charge for shopping during your stay is €30 per hour plus the cost of the ingredients purchased. Please be warned that this service is prone to errors - often in the most amusing ways - due to misinterpretations and substitution of local products for those requested.
Prices serve as a guideline and are subject to change which shall be advised by the owner of the property.

12b. CANCELLATION OF EXTRA SERVICES
Extra services may be cancelled without penalty until fifteen (15) days prior to the first day of the rental period, provided notice of cancellation is received in writing by email.

13. TRAVEL ARRANGEMENTS AND TOURS
Clients are responsible for ensuring that they hold the proper documentation for their visit to Italy.

14. CHILDREN’S SAFETY AND EQUIPMENT
Guests with infants and small children should check if the cot and high chair is available. These may not conform to safety standards and are used at the client’s own risk. For sanitary reasons bedding for cots is not supplied.

15. HOUSEHOLD AMENITIES
a. Linens and tableware                        
Properties are supplied with linens, towels and tableware sufficient for the number of guests indicated in the booking form. Fresh linens and towels are provided weekly.

b. Utilities

  • 330 kilowatts of electricity are included in the rental charge. Excess consumption is charged at €0.40 per kilowatt.
  • Hot water and heating are included in the rental charge.

Should problems arise with the delivery of water, gas or electricity, the owners will do their utmost to remedy the situation but we cannot accept responsibility for non-delivery due to circumstances beyond our control.

c. Pool
The pool will be open from the first Saturday in May and the last Saturday in September. If requested, at the extra charge of €500 the pool might be opened earlier or stay open later than the dates mentioned, weather permitting.

16. ANIMALS
Guests’ pets are accepted even though a permission must be obtained in writing before the booking can be confirmed. The security deposit in this case will be of is €800, payable in cash at check-in. It will be refunded to you at check –out less any damages or unpaid fees.

17. GROUP BEHAVIOUR  
The property will be in a clean and well-maintained state when you arrive, and it is expected that you and your party will keep them so throughout the rental period. If the property has not been left in an acceptable state, the owners may add up to €300 to the final bill for the extra cleaning and tidying required.
The Party Leader is responsible for the decent behaviour of his party. Should the party behave in a manner that is not acceptable, the owners have the right to ask you to vacate the premises. No camping is permitted on the property grounds.

18. PROBLEM RESOLUTION AND DAMAGES
If a problem occurs at the property, it is the guests’ responsibility to notify the owners promptly so that they may take the action required. The Party Leader is liable for any damages caused to the property, its contents or grounds by any member of the party or the loss of any articles belonging to the property. The cost of repairing any damages caused by the party or replacing of any articles lost will be included in the final bill and deducted from your security deposit. If the costs are higher than €500 (amount of security deposit), the Party Leader will be responsible for the payment of any extra cost.

19. RESPONSIBILITY
By completing and returning the booking form, you and all members of your party acknowledge full awareness of these booking conditions and agree to accept and abide by the terms stated.
We do not have any obligation to compensate you for any personal injury, death, loss or damage of whatever nature suffered by you (or by any member of your party).
